Mission: The Mission of the Imperial Community Theatre, Inc. is to preserve the historic integrity of the downtown theatre, while providing a quality venue to the Augusta area.

Reports To: The Box Office Manager reports directly to the Executive Director. Teamwork and close communication are extremely important within the Imperial Theatre staff. All staff is expected to fulfill his/her job description, and further, to pitch in if necessary to meet overall objectives and deadlines of the Theatre. Employees are reminded to speak directly with the Executive Director about any concerns and/or problems relating to his/her job description. Key staff is expected to attend and participate in all staff meetings.

Position: Part-time Box Office hours with availability to work weekday and weekend events as necessary and required.

Status: Hourly/Non-exempt- Rate to be determined

Summary: The Box Office Manager manages the ticketing operation of the Imperial Theatre, including supervising and training Box Office Assistants. Provide administrative and marketing support as required.

Responsibilities:

·        Management and coordination of day-to-day ticketing operations, programs as appropriate and any part-time Box Office staff members.

·        Track ticket sales sources and assist in developing strategies for sales forecasting, market development and sales incentives.

·        Establish and maintain customer services and ticketing policies and procedures, trains staff, conducts research and uses technology to improve service.

·        Direct interaction with key staff members and user-groups for events information, accounting, and event set-ups and promotions.

·        Position involves accurate daily cash handling and balancing as well as daily posting of credit card transactions and involvement in month-end reconciliations; assisting the Director or Finance Committee Chairperson at a minimum or performing a more thorough review and analysis of monthly ticket sales transactions and reporting same, at a maximum.

·        Position requires attendance at evening, weekend, and/or performances activities.

·        Create, update and maintain staffing schedule including making necessary calls to House Manager(s), Volunteer Coordinator(s), Concession Manager, Fire Department and Sherriff’s Department to arrange for and schedule attendance at events.

·        Update the Imperial Theatre marquee weekly or as necessary to reflect the most up-to-date event information and ensuring proper recognition of Theatre sponsors, as well as at times, event or program sponsors as directed by the Executive Director or Board of Directors.

·        Update and maintain Contacts in the Imperial Theatre’s e-mail tool for electronic newsletters and/or updates to ensure proper and efficient distribution of updates via “e-Blasts”.

·        Utilize “Constant Contact”, or the current contact management tool, to create weekly or periodic updates to keep targeted prospects, patrons, media, and members of the Board of Directors aware of events at the Theatre. Duties include utilizing and manipulating artwork and graphics as well as developing appropriate copy in order to create a professional, attractive, legible, grammatically correct marketing/promotional tool.

·        Communicate in writing, via e-mail, with the Theatre’s webmaster, usually weekly, but as necessary in order to keep the Theatre’s website event updated.

·        Train, instruct and schedule volunteer Box Office workers for each event as requested, required or necessary.

·        Exhibit a high degree of customer service and positive attitude with staff and customers at all times.

·        Maintain and update Theatre public relations monthly archives and calendars.

·        Exhibit interest in learning about other phases of theatre operations at least with regard to how they contribute to the success of the Theatre

·        Learn about House Manager position duties in order to fill-in as needed.

Qualifications:

·        Prior customer service experience

·        Prior cash handling experience

·        Ability to stand, sit in a chair or stool for extended periods of time, crouch, bend, climb stairs and lift at least 25 lbs.

·        Ability to work Box Office hours as well as weekday and weekend hours. Normally the Box Office opens two (2) hours prior to a live event and (1) hour prior to a movie and stays open 30 minutes after the beginning of an event. Exceptions such as a pre-screening event or an opening act prior to a film or longer running events require either opening earlier or staying open longer than normal.

·        Provide advance notice to the Executive Director and the affected user-group as needed in the event of not being available to work an event and arrange for a replacement to handle box-office duties.

·        Ability to work at times in a fast paced, high stress atmosphere wherein on-the-spot decisions are required to accommodate constantly changing plans.

·        Ability to plan and supervise the work of other Box Office workers and volunteers.

·        Positive attitude and good verbal communication skills

·        Willingness to work regular part-time and flexible hours

·        Ability to work with a variety of constituents, including volunteers, board members and the general public

·        Knowledge of MS Office including Word, Excel & PowerPoint as well as webmail, Outlook and the Internet.

·        Knowledge and appreciation of the performing arts helpful

·        Prior experience (editing, cropping, sizing, saving, copying, printing and posting) with Adobe Photoshop or equivalent photo editing software.

·        Degree or equivalent combination of experience and education required

Box Office Hours (subject to change):

Tuesday through Friday 10AM to 4PM. Open Box Office two (2) hours prior to live events and one (1) hour prior to movies. Box-Office closes 30 minutes after performance or movie begins. From time-to-time the Box Office may need to stay open longer during shows, due to circumstances beyond the control of management.
